Important Room Rental Information
Reservation Guidelines
Visit the facility of your choice and select a room that suits your needs.
- Reservations can be made up to 6 months in advance or a minimum of 14 business days before the rental date.
- Payment and a refundable $100 deposit are required at the time of the reservation.
- A 2% sales tax will be applied to all facility room rental fees and room set up fees.
- There is a 25% Surcharge for all Non-Resident rentals.
- General Liability insurance may be required.
- All changes to reservations must be made 5 business days in advance (during business hours, Monday-Thursday)

Reservation Requirements
- Location (Center & Room Name)
- Date of the event. (A minimum of one hour is required for a reservation)
- Time of event - must include set up, decorating and clean up time

- Approximate number of people attending.
- Special equipment or items that will be brought into the center
- Caterers and any other outside companies that are utilized must have proof of insurance on file with Town of Gilbert Parks and Recreation
- General liability insurance may be required - Certificate of Insurance Requirements

CLEAN-UP & TEAR DOWN FEES* (optional) Leave the cleaning to us! At the end of your reservation, the facility staff will wipe down and put away tables and chairs, along with trash removal and general maintenance of the space. This fee is not intended to cover excessive wear & tear or deep cleaning. Guests are expected to treat their space with respect and care. The renter will still need to remove any decorations, personal items or outside equipment and place trash in the trash receptacles (provided). No heavy lifting required! |

- A refundable $100 deposit will be collected at the time of the reservation.
- Non-Resident reservations are assessed a 25% surcharge.
- Set up and clean up time must be included in the reservation time.
- A $25 administrative fee may be applied beginning with the third change to a reservation.
- A 10% discount will be applied when two (2) or more rooms are rented in a single rental for the Community Center, McQueen Park Activity Center, Freestone Recreation Center and the Southeast Regional Library.
- Additional set up and/or clean up charges may apply at the Community Center, McQueen Park Activity Center, Freestone Recreation Center and Southeast Regional Library.
- Additional fees, surcharges and/or special circumstance deposits may be assessed to individuals or groups requiring special accommodations (i.e. larger groups, after hour rentals)
- After hours fees will apply at the Community Center, McQueen Park Activity Center and Freestone Recreation Center if requesting use of a facility before or after regular business hours.
- All groups are required to sign an end of rental form and pay any additional fees that may have occurred upon completion of the rental.
Each permit holder must sign Gilbert Parks and Recreation's Facility Rental Rules and Regulations document prior to their event.
